Fulfillment Policy for Cycle Fast Creative LLC Events
At Cycle Fast Creative LLC, we are committed to providing exceptional event management and timing services for racing events of all types. Below is our fulfillment policy to ensure clarity and mutual understanding for all parties involved:
1. Scope of Services
Cycle Fast Creative LLC will deliver event management, race timing, and other contracted services as outlined in the agreement signed by both parties. The scope of services may include, but is not limited to:
- Event timing and results management using certified Race Result technology.
- Course planning and setup.
- Race registration and participant tracking.
- On-site technical support during the event.
2. Payment Terms
- A 50% deposit is required to secure the event date, payable at the time of signing the agreement.
- The remaining balance is due no later than 7 days before the event date unless otherwise specified in the agreement.
- Late payments may incur additional fees as outlined in the agreement.
3. Cancellations and Refunds
- If the client cancels the event:
- Cancellations made 30 days or more before the event will receive a full refund of the deposit.
- Cancellations made between 15-29 days before the event will receive a 50% refund of the deposit.
- Cancellations made within 14 days of the event are non-refundable.
- If Cycle Fast Creative LLC must cancel the contract due to unforeseen circumstances, all payments made to date will be refunded in full.
4. Event Changes
- Requests to modify the event date, location, or scope of services must be made in writing and may be subject to additional fees.
- Changes are subject to availability and cannot be guaranteed within 14 days of the scheduled event.
5. Weather or Force Majeure
Cycle Fast Creative LLC is not responsible for event disruptions due to weather, natural disasters, or other force majeure events. If rescheduling is necessary, we will work with the client to accommodate a new event date.
6. Equipment and Data Integrity
- Cycle Fast Creative LLC guarantees the use of high-quality, professionally maintained timing and event equipment.
- While every effort is made to ensure data accuracy, Cycle Fast Creative LLC is not liable for results discrepancies caused by participant or third-party errors.
7. Client Responsibilities
The client is responsible for:
- Securing necessary permits, permissions, and insurance for the event.
- Providing adequate space, power, and connectivity for timing equipment.
- Ensuring volunteers and staff adhere to event protocols as outlined by Cycle Fast Creative LLC.
8. Dispute Resolution
Any disputes will first be addressed through mutual discussion. If a resolution cannot be reached, disputes will be handled through mediation or arbitration in accordance with state laws.
9. Shipping
Only to Race Directors for printed materials. Shipping is a passthrough rate at which a third-party supplier will supply at each shipment. Our events are only in person and do not ship anything to event participants.
